Manage files in your Cympha Cloud

My Cloud holds the scans and documents behind each dental case in Cympha; this guide covers folders, uploads, renaming, moving and deleting, and what each section of My Cloud contains.

Audience: Any Cympha user — clinicians, lab managers, designers, intakers — who has files in their account (case attachments, private uploads, or shared work) and wants a single place to organise them.

You'll come away knowing: how to open your cloud, what each of the three sections shows, and how to create folders, upload files, rename, move, and delete — without ever touching a case form.

Time required: Around three minutes to read; less than a minute to organise a folder once you know where to click.

Before you start

You need:

  • A Cympha account at app.cympha.com.
  • Some files to organise. If your account is brand new, the cloud will be empty — that's expected, and the steps below show you how to upload your first file.
  • Be aware: files in My Cloud are kept for 7 days. This applies to every account. Treat My Cloud as a working area, not an archive — keep your originals on your own computer, and attach anything you need long-term to a case (case files live in the case's own storage and are not swept with your cloud).

What "My Cloud" actually is — a private folder in Cympha's storage, tied to your user account. It is not the same as your case files (those live inside each case), and it is not visible to anyone else unless you explicitly share something from it.

Step 1 — Open your cloud

Sign in and navigate to app.cympha.com/cloud (in the sidebar this is labelled My Cloud). The page has a header and three sections stacked top-to-bottom:

  1. My Cases — a read-only roll-up of your recent cases. Each case is a collapsible folder; click it to see the files attached to that case. This is a convenience view; the canonical place to work on a case is still its case detail page.
  2. The My Cloud browser — your private file store. This is where you create folders, upload, rename, move, and delete. Everything below in this guide is about this section.
  3. My Shares — files and folders you've shared with someone, and files and folders someone has shared with you. Covered in share a file from your cloud.

If a section is empty (no recent cases, no shares yet) it either shows a short empty-state message or simply doesn't render — don't worry, you haven't lost anything.

Step 2 — Create a folder

In the browser toolbar, click New folder. A small dialog titled "New folder" opens with a single field, Folder name, and a placeholder hint (My folder).

Type a name and press Enter, or click Create. The folder appears immediately in the list with a yellow folder icon. Folder names accept letters, numbers, spaces, and most punctuation; avoid leading/trailing slashes.

Folders can be nested — click into a folder, then New folder again to make a subfolder. The breadcrumb at the top-left of the browser (My Cloud > Patients > Smith ...) shows where you are and lets you jump back up by clicking any segment.

Step 3 — Upload files

Click Upload in the toolbar (next to New folder) and pick one or more files from your computer. You can multi-select in the OS file picker — Cympha uploads them sequentially. While uploads are in flight the button label changes to Uploading N… and is disabled to prevent double-starts.

Each file lands in the folder you're currently browsing. There is no upload-folder dialog — the file goes wherever the breadcrumb says you are. If you wanted it elsewhere, see Step 5 (Move).

Supported file types: STL, PLY, OBJ, DICOM, JPEG, PNG, ZIP, and GVW. The browser shows file size in B / KB / MB next to each row. Files Cympha recognises as 3D-viewable (.stl, .ply, .obj, .gvw, .gvw.zip, .cyp) get an extra View in 3D viewer action — see open cloud files in Studio.

Step 4 — Rename a file or folder

Each row in the browser has a three-dot More actions button on the right. Click it and choose Rename. A dialog titled "Rename folder" or "Rename file" opens with the current name pre-filled.

Edit and press Enter (or click Rename). On success you'll see a toast — Folder renamed or File renamed — and the row updates in place. Cympha will not let you rename to an empty string or to the existing name.

Renaming a folder updates the storage path of every file under it. A share points at the file's stored location, so renaming or moving a shared file can break the share — if that happens, re-share the file from its new location.

Step 5 — Move a file

From the file's row, open the more-actions menu and choose Move. A small dialog titled "Move file" opens with a dropdown labelled "Select folder". The dropdown lists:

  • My Cloud (root) — the top of your cloud.
  • Every top-level folder under your root.

Pick a destination and click Move. The file disappears from the current folder and appears in the destination. The success toast is File moved.

The current move dialog supports top-level destinations only. If you need to drop a file deep into a subfolder, move it to the parent folder first, then navigate in and use Move again — or rename the containing folder if that's simpler.

Folder-level move is not currently offered from this menu. If you need to reorganise an entire folder, the workaround is to create a new parent folder and move each file in.

Step 6 — Delete a file or folder

Open the more-actions menu and choose Delete. The action is destructive and happens immediately — there is no confirmation dialog in this iteration of the cloud, so click carefully.

Success toast: File deleted or Folder deleted. Deleting a folder removes every file and subfolder under it.

Deletion in My Cloud is permanent. Files attached to a case are not affected (those live in the case's own storage, surfaced read-only in the My Cases section above).

What happens next

You now have an organised private cloud you can:

Troubleshooting

The upload button is greyed out. Either an upload is already in flight (button reads Uploading N…) or your browser blocked the file picker. Wait or retry.

An upload toasted "Failed to upload <name>". Usually a transient network blip on the direct-to-storage PUT. Retry the same file. If it happens repeatedly on the same file, check that the file is under the 500 MB browser-upload limit and that nothing on your network (corporate proxy, VPN) is interfering with uploads.

I deleted a folder by mistake. There is no trash in this iteration. If the folder contained case attachments, those still live in the case itself and aren't gone — only your My Cloud copy of them is. For arbitrary uploaded files, you'll need to upload again from your local copy.

A file I uploaded last week is gone. Files in My Cloud are kept for 7 days, for every account. Keep your originals locally, and attach anything you need long-term to a case — case files live in the case's own storage and are not affected by the cloud sweep.

My cases aren't showing up under My Cases. The My Cases section shows recent cases only. Older cases are still accessible from the regular cases list (app.cympha.com/cases).
