Dental Case Lifecycle Management
DCLM is dental case management extended across the full life of a case: one continuous, tracked record spanning every step, tool and party, from intake to outcome.
What is Dental Case Lifecycle Management?
Dental Case Lifecycle Management (DCLM) is dental case management widened to the full life of a case — a category of dental software that manages a patient case as a single, continuously tracked record across that lifecycle — intake, planning, design, manufacturing, treatment, monitoring, and outcome — and across every party that touches it (clinicians, laboratories, and suppliers).
Where point tools each own one step of a case, a DCLM platform owns the thread that connects them: the case — its files, clinical context, and status — stays intact as it moves between tools and people.
In one line: DCLM is to a dental case what Product Lifecycle Management (PLM) is to a manufactured product — the single system of record for its entire life.
What Cympha DCLM covers
DCLM is not a feature. It covers four areas that are each an established software category on its own — and most buyers arrive looking for exactly one of them.
Case data arriving in any format, transformed for the bench, and routed to the right person.
The case as one record crossing clinic and lab, carrying intent, status and approvals.
Files that land once: storage, sharing without accounts, and the desktop bridged by the Agent.
AI assigned work inside the case, with a person approving every result.
Why the category exists
A modern dental case is produced across a dozen disconnected tools — none of which share a common record. Data is re-entered at each handoff, clinical intent is buried, versions diverge, and no party can see where the case is. DCLM treats the case itself as the system of record, removing those seams. The pain isn't any single step — it's the sprawl:
| Step | Tools today | Friction |
|---|---|---|
| Mesh view / fix / sculpt | Blender, 3D Slicer, MeshMixer, MeshLab, Geomagic | Animation & research tools — non-dental, manual round-trips |
| Send files | WeTransfer | Links expire → re-download |
| Share storage | Google Drive / Dropbox | Access approvals / blocked in some regions |
| Review remotely | TeamViewer, AnyDesk, screen recordings | Ad hoc, nothing kept |
| Communicate | Email, WeChat, WhatsApp, phone | Scattered, untracked |
| Design | 3Shape / exocad | The one specialist tool that earns its place |
The case lifecycle
DCLM models a dental case as a tracked record that moves through seven stages — and that is not strictly linear. Cases branch (an implant case continues into a restoration case) and span multiple parties at once.
Scans, CBCT, photographs, prescription — the case begins.
Implant, orthodontic, or restorative planning.
Surgical guides, aligners, restorations, smile design.
Printing, milling, fabrication.
Surgery, delivery, placement.
Between-visit follow-up and recall.
Post-treatment comparison — planned vs. achieved.
The fundamentals of a DCLM platform
To define a category is to say what a system must do to qualify. A DCLM platform has eight defining capabilities:
One canonical record per case — the system of record everyone works from.
Intake through outcome.
Diagnosis, prescription, and intent carried through every step, not just files.
Clinicians, labs, and suppliers on the same record, by role.
Every case has a live, visible state and a full history.
Connects to and orchestrates specialist tools (design, AI); it doesn't replace them.
Cases link and branch.
Captures post-treatment results to inform the next plan.
Case study: one implant case, end to end
Follow a single implant case from the first scan to the outcome. The clinical work doesn't change — what disappears is the tool tax at every handoff.
| Step | Before — the tool tax | In Cympha |
|---|---|---|
| 1. Records | Scanner and CBCT exports sit in local folders, then get emailed or USB-copied to whoever plans. | The Cympha agent surfaces new scans and turns a folder into a tracked case in one click. |
| 2. Implant planning | Planned in GuideMia on a single workstation — the plan is trapped on that machine. | GuideMia plans the implant and interoperates with the Cympha web app — the plan lands in the case. |
| 3. Share the plan | Export, then WeTransfer or a shared drive; the link expires before the next person opens it. | The implant plan is shared on the cloud inside the tracked case — no expiry, no re-download. |
| 4. Case review | Screen-share on AnyDesk; comments scattered across WeChat, email, and phone calls. | Reviewed in the web app — every comment and decision stays on the case. |
| 5. Surgical kit confirmation | Phone or email the implant supplier to confirm size, components, and drill kit. | The kit is confirmed in-thread on the case with the supplier — the confirmation becomes part of the record. |
| 6. Surgery & guide | Print the guide and hope the right files went out the door. | The confirmed plan and guide travel with the case; everyone works from one source of truth. |
| 7. Post-treatment | The outcome is rarely compared back to the plan; the case data is lost. | A post-op scan is compared to the plan on the same case — planned vs. achieved, retained. |
When the case branches to the restoration, the crown lab inherits the full context — plan, guide, and clinical intent — with nothing re-keyed or re-downloaded.
What makes DCLM a category
Bundling a dozen tools is not a category — anyone can do that. Underneath those four areas, DCLM is defined by properties that point tools structurally cannot have:
The case is a stateful object with a status — not loose files. The DCLM platform is the system of record.
Carries the diagnosis, prescription, and decisions, not just geometry. A file tool moves the STL; DCLM moves the case.
One shared record across clinicians, labs, and suppliers — the thread no single party's tool can be.
Intake through outcome, including cases that branch (implant → restoration) and span many parties at once.
DCLM vs. adjacent categories
| Category | Owns | DCLM instead |
|---|---|---|
| Practice Management Systems (PMS) | Scheduling, billing, and records within a practice | DCLM manages the case as it crosses practices, labs, and suppliers |
| CAD / design software (exocad, 3Shape) | Operate on the design step | DCLM orchestrates the whole lifecycle around them |
| File sharing / cloud storage | Move files | DCLM tracks the case and preserves its clinical context |
| Product Lifecycle Management (PLM) | The manufacturing-industry analogue | DCLM is the dental-case equivalent |
AI in a DCLM platform
Because the platform spans plan → execution → outcome, it is the substrate where AI becomes useful: third-party models (segmentation, planning) plug into the case and return tracked, reviewable results — and the longitudinal outcome data is the only dataset that can train AI on how cases actually turn out. AI is a participant on the case, not a separate tool.
DCLM is to dentistry what PLM is to manufacturing
Product Lifecycle Management (PLM) is the software category that manages a physical product as one record across its entire life — concept, design, engineering, manufacturing, and service — replacing the sprawl of disconnected CAD files, spreadsheets, and email that came before. It became foundational infrastructure for every serious manufacturer (Siemens, PTC, Dassault) and a category worth tens of billions.
Dentistry has the same problem: a case — the “product” — is planned, manufactured, and delivered across a fragmented chain of disconnected tools and parties, with no system of record. Dental Case Lifecycle Management is PLM for the dental case — the same category pattern applied to the unit of work in dentistry: the patient case.
That parallel is the thesis. PLM proved that owning the lifecycle record — not any single design tool — is the durable, infrastructure-grade position. DCLM is that position in dental.
Origin
The term Dental Case Lifecycle Management was introduced by Cympha to name the practice of managing a dental case as one continuous, tracked record across its lifecycle and all parties.
