Create a case from your cloud folder

If a patient's files already sit in your cloud, Cympha dental lab case management software can open a case straight from that folder and attach them for you.

Audience: Clinicians, lab managers, and case intakers who already have a patient's files — scans, CBCT, photos, an existing plan — sitting in a folder in their Cympha Cloud, and want to spin up a Cympha case from those exact files without re-uploading.

You'll come away knowing: how to launch the case form pre-seeded from a cloud folder, what carries over automatically, what you still need to fill in, and how the files end up attached to the new case.

Time required: Less than two minutes if your folder is already organised. Most of the time is filling in the case parameters, not moving bytes.

Before you start

You need:

  • A folder in your cloud at app.cympha.com/cloud containing the files for this case. If you haven't organised the folder yet, see manage files in your Cympha Cloud first.
  • Whatever the case category requires (an AlignerBot case needs scans; an implant case needs CBCT + optical; an Ortho case needs scans and ideally photos). The case form will surface a checklist once you pick the category.
  • A clear idea of what you're submitting (Ortho, AlignerBot, Implant, or a custom Lab Service). You can change category mid-form, but the file checklist updates with it.

Why use this instead of upload-from-scratch? Three reasons: (1) the files are already in Cympha's storage, so no second upload from your laptop; (2) you can pre-organise a clean folder per patient before the case form ever opens, which matters for cases with many files; (3) the agent or another colleague may have dropped the files there for you, so the case-creation step is purely the clinical form, not file handling.

Step 1 — Open the cloud folder

Sign into app.cympha.com and go to My Cloud (app.cympha.com/cloud). Navigate into the folder you want to use — the breadcrumb at the top of the browser will read My Cloud > Patient-Smith > ... or whatever you've named it.

You don't open the folder to start a case; the action lives in the folder's row menu, not inside the folder. So back up one level and find the folder you want.

Step 2 — Trigger "Create case from this folder"

On the folder's row in the My Cloud browser, click the three-dot More actions button on the right. The menu includes:

  • Create case from folder — the action you want here.
  • Rename.
  • Delete.

Click Create case from folder. The app navigates to app.cympha.com/cases/new?cloudFolder=<folder-path> — same new-case page as the manual flow, but with the folder reference passed in.

Step 3 — Confirm the cloud-import banner

The top of the new-case form shows a blue banner once it opens with the folder import context:

  • Title: "Files from My Cloud folder will be imported"
  • Subtitle: the name of the folder (just the leaf, not the full path).

Once the case is submitted, the files are attached to the case — the case's own copy is what the lab works from. Check your folder in My Cloud after submission to see what remains there, and remember that files in My Cloud are kept for 7 days in any event; keep your originals on your own computer.

Step 4 — Pick a lab and category

Below the banner you'll see the normal new-case form. Fill it in the same way you would for a case started from scratch:

  • Lab — for a Lab Service case, search for your lab by name, or by your lab manager's name or email (there is no public list of labs to browse — connect with your lab offline first, then find them here; the search needs at least two characters).
  • Category — Ortho, AlignerBot, Implant, or a specific Lab Service the chosen lab offers.

The category drives which parameter form shows up underneath and which file checklist applies. The cloud folder import doesn't constrain the category — if your folder has a CBCT and you pick Ortho, that's fine; the file is still attached, the Ortho parameters just don't reference it.

Step 5 — Fill in patient and clinical parameters

The patient block (name, gender, DOB, complaints, expected date) is required on every case category. Patient name is the only hard validation; the rest are optional.

The clinical block depends on category:

  • Ortho — arch selection, extractions, fixed teeth, Angle classification, desired midline/overjet/overbite, and a scan checklist (intraoral, optical, CT, bite, facial, 2D photos).
  • AlignerBot — upper and lower jaw plan ranges, extraction selections in FDI notation, IPR allowance, expansion, etc.
  • Implant — case overview, brand, drilling kit, sleeve type, planned implant tooth numbers, scan checklist.
  • Lab Service — whatever fields the lab has configured in the service template.

For details on the parameter forms themselves, see submit AlignerBot case or submit a non-AlignerBot case — the only thing different here is that you skipped the upload step.

Step 6 — Submit

Click Create case at the bottom of the form. Behind the scenes:

  1. The case is created in Submitted status with the parameters you filled in, and lands with the lab manager.
  2. The cloud folder's files are attached to the case.
  3. The browser navigates to the new case detail page at app.cympha.com/cases/<case-id>.

You should see every file from the cloud folder listed under the case's Files section, ready for the lab or the AI category to start processing.

What happens next

  • Native AI categories (Ortho / AlignerBot / Implant) follow their own workflows from here. If you later want to request tooth-level changes on an AlignerBot case, you can export an XML tooth-position file from Cympha Studio's 3D review — no desktop install needed — or upload a .gos.gpk transfer pack saved from GuideMia OrthoPlus Planner (see AlignerBot phase 1 to phase 2).
  • Lab Service cases land with the chosen lab's manager, who holds the case from Submitted. The lab manager assigns a designer; from there it's the normal case lifecycle.
  • My Cloud — check the source folder after submission; other folders in your cloud are untouched.
  • My Cases — the new case appears in the recent-cases section under My Cases at app.cympha.com/cloud. The full cases list is at app.cympha.com/cases.

Troubleshooting

I clicked Create case from folder but nothing happened. The action navigates to the new-case form. If you're already on a /cases/new page, the navigation may have appeared silent — scroll up to see the blue cloud-import banner. If the banner isn't there, the cloud folder parameter didn't make it; go back to My Cloud and try the menu action again.

The banner is showing the wrong folder name. The banner shows the leaf of the folder path (the last segment after the last /). If you have two folders both called Smith in different parents, the banner can't tell you which one was selected; check the full case after creation to confirm the right files attached.

Some files I expected didn't attach to the case. The import covers the folder's contents at submit time. If you uploaded a file into the source folder while the case form was open, the import sees the folder's state at submit, so it should be picked up — but the cleanest workflow is: organise first, then submit. Compare the case's Files section against your folder to confirm everything arrived.

I picked the wrong category and submitted. Cancel the case from the case detail page (Cancel case), then start a fresh case. Check your cloud folder first — if the files are no longer there, re-upload them from your local copies.

I want to attach a cloud file to an existing case, not create a new one. The safe path is download from My Cloud and re-upload through the case's file dropzone.
