Device pairing: install and pair Cympha Agent Manager

Device pairing connects a Windows workstation running Cympha Agent Manager to dental case management in Cympha; this guide installs the agent, pairs and approves it from your account and confirms from the tray icon that it is running.

Audience: Designers, lab managers, and AlignerBot operators setting up the Cympha Agent Manager on a Windows workstation for the first time. You should already have a Cympha account.

You'll come away knowing: how to install the agent, pair it to your Cympha account, and read the tray status so you know whether it's working.

Time required: About ten minutes. Most of that is the installer running and your antivirus making up its mind.

Before you start

Check the following:

  • Windows. The agent is Windows-only — Windows 10 or 11, 64-bit. Macs and Linux workstations aren't supported. If you're on a Mac, your lab manager will need to dedicate a Windows box for AlignerBot work.
  • Your Cympha account email. The same address you sign in to app.cympha.com with. You'll type it into the agent during pairing, so have it ready.
  • A signed-in browser session. Open app.cympha.com in your default browser and sign in before you click Approve. The approval pops as an in-app modal on whatever Cympha page you're currently on — if you're not signed in, the modal can't appear.

Step 1 — Download the installer

Sign into app.cympha.com. The app links you directly to the installer file — the easiest trigger is clicking Upload via Agent on any case with no agent installed, which opens an install dialog with the download link.

The download is a single installer .exe. The saved file may carry a version number in its name. Save it to your Downloads folder.

Why not the Microsoft Store? The agent talks to local files (your scanner export folder, your OrthoPlus project folder) and runs in your system tray. Store-sandboxed apps can't do that, so we ship a regular installer.

Step 2 — Run the installer

Double-click the .exe. Windows SmartScreen may show a "Windows protected your PC" warning the first time — click More info, then Run anyway.

The installer is a standard Next / Next / Install wizard; defaults are fine. Click Install, wait for the progress bar, then Finish. The agent starts automatically and a small Cympha icon appears in your system tray (bottom-right of the taskbar, next to the clock). You may need to click the Show hidden icons arrow to see it on a fresh Windows install.

The tray tooltip reads Cympha Agent Manager.

Step 3 — Open the tray menu

Right-click the Cympha tray icon. You'll see this menu:

  • Show window
  • Pair to Cympha… (Unpair from Cympha appears here only once you're paired)
  • File Monitoring (submenu: Configure folders…, Start monitoring, Show pending files)
  • Cloud Monitoring (submenu: Configure workspace…, Start monitoring, Show panel, Reset sync state…)
  • CBCT Segmentation…
  • Cancel CBCT Segmentation
  • AlignerBot (submenu — only present if GuideMia OrthoPlus is installed on this workstation)
  • Quit

Right after install, you're not paired yet. Click Pair to Cympha….

Step 4 — Enter your Cympha account email

A dialog titled Pair to Cympha opens. The intro text reads "Enter the email of the Cympha account you want to pair this Agent Manager to. After you submit, open Cympha in your browser (signed in to that account) and approve the request."

Below it is a field labelled Cympha account email: with placeholder you@example.com. Type the same email you use to sign in to app.cympha.com (e.g. sarah.lin@smile-lab.com). Click Send pair request.

The agent posts the request to Cympha and starts polling for your approval. No browser tab is opened automatically — you switch over yourself.

Why two devices? Anybody who can run an installer on your laptop can type an email into a dialog. We make sure the real you — already signed in at Cympha — approves the pairing from a separate, authenticated session. That's why we need the browser side.

Step 5 — Approve the request in your browser

Switch to your browser, open app.cympha.com if you don't have it open, and make sure you're signed in to the same account whose email you typed in Step 4.

Within a few seconds a modal pops up on whatever Cympha page you're on, titled "Cympha Agent pair request". It reminds you: approve only if you triggered this from your own machine. The modal lists every pending pair request for your account, each showing:

  • The workstation's hostname (e.g. DESKTOP-SARAH-LIN).
  • The OS string.
  • The agent version.
  • An Install ID (a short identifier so you can tell laptop from desktop apart).
  • When the request was submitted, and when it expires.

If everything matches, click Approve on that row (or Deny if you didn't initiate it). The modal closes automatically when there are no more pending requests.

If the modal doesn't appear right away, switch to another browser tab inside Cympha and back, or refresh — the modal is fetched on app mount / focus.

Switch back to the agent. Within a few seconds (it polls every 3 seconds) the pairing dialog closes and the agent records the pairing token. You're done.

The pairing is stored as a long-lived credential in your Windows user profile — you won't have to repeat any of this even when you sign out of app.cympha.com in your browser. The agent stays paired across restarts and across upgrades.

What happens next

  • Cloud Monitoring. Open the tray menu → Cloud Monitoring → Configure workspace… to pick a local folder. Once configured, the agent subscribes to your Cympha cases — when a case is assigned to you (or to AlignerBot), the relevant files automatically land in your workspace folder. You'll see a brief toast in the system tray each time.
  • File Monitoring stays off by default. If you want the agent to watch your scanner export folder and prompt you to create a case every time a new file appears, use File Monitoring → Configure folders… and Start monitoring. Useful for chairside scanner setups, not necessary for pure design work.
  • AlignerBot runs from its own submenu (if OrthoPlus is installed): AlignerBot → Configure… and Start AlignerBot. The "Idle" line in the submenu is a read-only label showing the live worker status.
  • Updates. When a new version ships, the agent shows a banner with a Download button that opens the download URL in your browser — it never installs anything itself. You run the new installer when you choose; the pairing survives upgrades.

Troubleshooting

The approval modal never appeared in my browser. Make sure you're signed in to app.cympha.com with the exact email you typed in the agent. Try focusing a different Cympha tab and back, or refresh the page — the modal is fetched on app mount / focus. If the email you typed has no Cympha account, nothing happens at all — the request quietly expires without reaching anyone, so double-check the address. A pair request is valid for 1 hour; after that the agent shows "Last pair request expired. Click 'Pair to Cympha' to send a new one."

The approval modal shows the wrong workstation. Each row corresponds to one pending request. If you've clicked Send pair request in the agent multiple times, you'll see multiple rows — approve the one with the matching hostname and submitted-time, and Deny the rest.

The agent dialog still says "Pending" after I clicked Approve. The agent polls every 3 seconds; give it a moment. If it stays pending longer than that, click Cancel in the agent dialog and try Pair to Cympha… again. If still stuck, your workstation may be behind a corporate proxy that blocks https://api.cympha.com — ask IT to allow it.

I paired with the wrong email. Right-click the tray icon → Unpair from Cympha, then Pair to Cympha… again with the right email. Note that the desktop's Unpair from Cympha only forgets the credential stored on this machine — to clean up the account side, also remove the machine from the Paired Agents section of the account's Cympha profile.

The AlignerBot submenu isn't there. GuideMia OrthoPlus isn't detected on this workstation. Install OrthoPlus first, then restart the Agent Manager.

Windows SmartScreen still blocks the installer after "Run anyway". Your IT department is probably enforcing SmartScreen in strict mode. They'll need to whitelist the installer, or run it for you under an admin account.

Related how-to: see Onboard your lab on Cympha if you haven't enabled the AlignerBot service on your lab yet — the agent only has cases to pick up once it is.
